Board Members

Members of the Board of Directors generally meet monthly and sometimes twice per month or weekly to execute league business and administer the league.  Meetings occur almost every month of the year and are approximately 2 hours.  Every board member takes on an important league function or special project (i.e., Opening Day, equipment, sponsorship, fundraisers, etc.) and participates in all aspects of season preparation and completion.


All Board Members will rotate as Officer in Charge (OIC) throughout the season. The OIC is responsible for duties such as opening park gate, distribution of baseballs, unlocking bathrooms, assist with scorekeeper questions and assist with national anthem. 


Executive Board

League President

    • Presides at Board meetings and assumes full responsibility for the operation of the local league
    • Is the contact between FPLL and Little League International
    • Must see to it that league personnel are properly briefed on all phases of rules, regulations, and policies of Little League
    • Receives all supplies and other communications from the Little League International
    • Ensures that league rules are followed and mediate conflict should they arise
    • Interacts with St. Lucie County officials on park maintenance
    • Ensures there is an Officer in Charge (OIC) assigned to each game night

Vice President 

    • Carries out such duties and assignments as may be delegated by the President
    • Presides in the absence of the president
    • Ensures that league rules are followed and mediate conflict should they arise
    • Oversees new player recruitment efforts
    • Interacts with St. Lucie County officials on park maintenance 
  • Ensures there is an Officer in Charge (OIC) assigned to each game night


Treasurer

    • Signs checks and dispenses league funds as approved by the Board of Directors
    • Reports on the status of league funds
    • Prepares budgets and assumes the responsibility for all league finances
    • Receives all mail from PO Box
    • Create checks and balances for concessions
    • Maintains documentation of all significant revenue sources (i.e. registration, fundraising, concessions, sponsorship, opening day, tournaments, donations)
    • Reconciles QuickBooks to bank statements monthly
    • Assists with registration and enrollment process
    • Sets up and manages league’s official website and online registration
    • Interacts with the Board and County officials on park maintenance
    • Coordinates Team Mom meeting and communicate with Team Moms throughout the season


Secretary

    • Maintains a register of Board members and assigns online administrative rights to Board members 
    • Records the minutes of meetings 
    • Responsible for background checks
    • Assists with registration and enrollment process
    • Coordinates League photo days
    • Coordinates Team Mom meeting and communicate with Team Moms throughout the season


General Board Positions 

Player Agent

    • Assists President in checking birth records and eligibility of players
    • Conducts annual tryouts and is in charge of player selection 
    • Coordinates the transfer of players according to provisions of the regulations of Little League
    • Obtain quotes for new uniform purchases and present to the Board for approval
    • Orders and distributes uniform purchases including hat, belt and patches


Sponsorship Manager

    • Responsible for updating FPLL sponsorship letter 
    • Solicits and secures local sponsorships from prior and new sponsors
    • Maintains records of monies secured through sponsorship using FPLL tracker on Google drive 
    • Organizes and implements approved league fundraising activities
    • Order banners and coordinates them to be hung up prior to Opening Day ceremony 
    • Order and distribution of fan shirts for regular season and All Stars 
    • Works with League Treasurer on purchasing and collection of funds for fan shirts

Social Media Coordinator 

    • Ensures that league news and events are updated on FPLL.net, Facebook and Instagram
    • Work with Treasurer on paid advertisements for registration 
    • Update scores online on a regular basis 
    • Communicate field status (rain outs) on FPLL.net (email/text), Facebook and Instagram
    • Promote annual events on FPLL.net (email), Facebook and Instagram such as Annual General Meeting and Board Elections, Registration, and Opening Ceremony
    • Works with local media to promote the interests of Little League
  • Coordinates efforts to make the League visible in the community year round


Opening Day Coordinator

    • Organizes all aspects of Opening Day
    • Coordinates with County Commissioners and Little League Officials to attend
    • Order and assist with distribution of trophies 
    • Order yard signs for teams to stand in front of
    • Print Kyle Patterson Award Certificate prior to Opening Day and work with League Treasurer to have refund check ready at ceremony
    • Test A/V equipment prior to ceremony
    • Work with Team mom’s on field to help line up children


Concessions Manager

    • Maintains the operation and cleanliness of concession facility 
    • Schedules volunteers to work the concession stand 
    • Create group chat to communicate updates to all volunteers 
    • Use of an electronic inventory tracking system such as Square 
    • Works with Board and League Treasurer to determine menu pricing 
    • Responsible for purchasing concession products 
    • Submit receipts directly to the League Treasurer or emailed to the FPLL email

Safety Officer

    • Ensures safety in player training and safe playing conditions
    • Coordinates reporting and prevention of injuries
    • Solicits suggestions for making conditions safer 
    • Reports suggestions to Little League International through the league president
    • Prepares the A Safety Awareness Plan (ASAP) for submission to Little League International 


Umpire-in-Chief (UIC)

    • Responsible for recruiting and retaining volunteer umpires
    • Schedules umpires for regular season games, makeup games, playoffs and tournaments
    • Use an electronic scheduling system (ex. SignUpGenius or League Officials)
    • Assign umpires to fields prior to arrival (especially on Opening Day)
    • Coordinate and assist with conducting umpire clinics
    • Communicate rule changes to league umpires
    • Work with League Treasurer on payment processing


Equipment Manager

    • Determine what equipment is needed for the season; obtain quotes for new purchases and present quotes to the Board for approval
    • Purchase equipment approved by the Board
    • Prepare team equipment bags at the beginning of the season and distribute league provided equipment to each team at the draft
    • Equipment manager needs to be available first week of practices to exchange broken gear or different size gear
    • Use tracking spreadsheet throughout the season to keep track of equipment provided to coaches 
    • Maintain the equipment inventory and ensure equipment room stays clean 
    • Schedule a time(s) at the end of each season for equipment return  
    • Ensure Coaches sign the Equipment Release Form upon return for record keeping


Head Coaching Coordinator

    • Responsible for all aspects of managing the Coaching Coordinators 
    • Create group chat and communicate Board updates to Coaching Coordinators
    • Responsible for knowing and following league rules 
    • Distributes league rules to coaches
    • Coordinates coaching clinics as necessary
    • Work with League Treasurer to secure funds needed for clinics


Coaching Coordinator

    • 1 per division (Rookies, Minor, Majors, Junior/Seniors)
    • Create group chat and communicate updates to Coaches
    • Responsible for knowing and following league rules


Auxiliary Board Members

Auxiliary Members may be appointed to the Board of Directors by the President with Executive Board approval. Auxiliary board members do not have voting privileges at board meetings after being elected.

Non-Board Members

Coaches 

    • Must attend coaches clinic
    • Must be present at the draft 
    • Contact players parents/ guardian by phone and report back to the Board if unable to speak with them 
    • Must complete background check 
    • Must complete CPR training and provide certificate to FPLL email
  • Responsible for knowing and following league rules

Local Sponsors
